How to Zip a File
The ability to zip a file allows for a file that might be large in size to be shrunk down into a size that saves close to 80% of the space that it would have used without being zipped. When it is this size, sending the file over email becomes considerably easier because it fits within the size parameters. Finally, a level of security can be added–encryption to be exact–to the zipped file so that people cannot access it unless you want them to.
Creating a Zip File on Windows
With Windows, there are two ways to zip a file. The first is to use the zip program that comes with your computer. Many computers these days do come with a program. To use this feature, simply right click on a file and then drag your mouse down to "Send to." You'll look for the compressed tab and click that. Almost immediately, a folder will appear with the file inside it that has been zipped. Now you can send it.
The other way is to download a program such as WinZip. This is a favorite amongst Windows users and while it costs some money, it is an effective program. Once you install the program, it will sync with Windows Explorer and when you decide to zip a file, simply scroll down and click the "Zip" button. This will allow you to zip with WinZip.
Creating a Zip File on a Mac
Creating a zip file on a Mac is straight forward and requires one click. Select the files that you want to zip. It can be one file or it can be many files. Select the number of files that you want to zip and then control-click. Move the mouse over the "Create Archive" button. It will include the number of files that you are going to be zipping. Once you click that, all files will convert into a .zip format that can then be sent over email.
